This policy explains how we collect, use and protect your personal data when you use VoyageKeep. We keep it in plain English.
Who we are
VoyageKeep is a trading name of Utilis Technologies Limited (company no. 10464053), registered in England & Wales. We are the data controller for the personal data described here. Contact us any time at hello@voyagekeep.com.
What we collect
- When you join the waitlist: your name and email address, and anything you write in the optional trip box.
- When you complete the trip questionnaire: details about your trip — destination, dates, who is travelling, where you are flying from, your preferences, and any notes you choose to add. These notes may include dietary requirements, allergies or accessibility needs; you provide these voluntarily and we use them only to plan your trip.
- When we build and run your trip site: your account email, the trip content, and the email addresses of anyone you invite to your trip.
- If you forward booking confirmations to us, the details they contain (e.g. flight, hotel and activity information).
- Support messages you send us, and our replies.
- Essential technical data needed to sign you in securely (a session cookie) and keep the service working.
Why we use it, and our legal basis
- To provide the service — building your trip site, letting you and your invitees view and edit it, and answering support requests. Legal basis: performance of our agreement with you, and our legitimate interest in running the service.
- To contact you about your trip and your account — the welcome, questionnaire, "your trip is ready", how-to and feedback emails. Legal basis: your request to join / use the service (consent and legitimate interests). Every such email lets you opt out.
- Special-category data (e.g. dietary or accessibility needs you choose to share): we process it only to plan your trip, on the basis of your explicit consent. You can ask us to remove it at any time.
AI and the suppliers who process data for us
To build and let you edit your trip site, your trip content is processed by trusted suppliers acting on our instructions:
- Supabase — secure database and authentication hosting.
- Microsoft 365 — sending and receiving our email.
- Vercel — hosting the website and app.
- AI providers (via OpenRouter, including models such as Anthropic and DeepSeek) — to power the editing assistant and help craft trip content. Some of these providers process data outside the UK/EEA; where they do, we rely on appropriate safeguards for international transfers.
We never sell your data, and we do not use it for advertising.
Who else can see your trip
Your trip site is private and password-protected. Only you and the people you personally invite (as guests or editors) can see it. Our team can access it to build, review and support it.
How long we keep it
We keep your data for as long as your trip is active and for a reasonable period afterwards, then archive and ultimately delete it — with advance warning and the option to export. Full detail is in our retention policy, available on request. You can ask us to delete your data sooner at any time.
Your rights
Under UK data protection law you can ask us to: access a copy of your data; correct it; delete it; restrict or object to how we use it; or receive it in a portable format. To exercise any of these, email hello@voyagekeep.com and we will respond within one month.
If you are unhappy with how we handle your data you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk — though we would always rather you came to us first.
Cookies & analytics
On our public website we use Google Analytics (provided by Google) to understand how visitors find and use the site, so we can improve it. This sets analytics cookies (for example _ga) and shares website-usage data with Google; IP addresses are anonymised and we do not use this for advertising. We also use Vercel Web Analytics, a privacy-friendly measure of page views and visitor numbers that sets no cookies, does not track you across other sites, and collects no personal data. Inside your signed-in trip site we use only the essential cookie needed to keep you logged in.
You can opt out of Google Analytics on all websites using Google’s opt-out browser add-on, or by blocking cookies in your browser settings.
Security
Access to trips is controlled at the database level, sign-in is passwordless (one-time email links), and data is encrypted in transit. No system is perfectly secure, but we take protecting your data seriously.
Changes
We may update this policy from time to time; the "last updated" date above will change, and we will tell you about anything significant.
